Vinted invoice: who needs one, what to put on it, with an example

13 October 2026 · 6 min read

"Do I need to issue an invoice for my Vinted sales?" Anyone who sells regularly asks it sooner or later, and the answer depends first on your status. Here's who has to issue a Vinted invoice, what it should contain, an example layout, and how it differs from the invoices Vinted sends you. This is general information, not tax advice: for your own situation, your tax authority or an accountant in your country is the right person to ask.

Vinted invoice as a private seller: nothing to issue

If you're selling your own things (clothes you no longer wear, a wardrobe clear-out), you're a private seller. You don't have to issue an invoice to the buyer: the sale goes through Vinted, and there's no business number or VAT wording to show anywhere. That's normal, and it's the case for most occasional sellers.

Things change as soon as you buy in order to resell: that's a commercial activity, with a business status, a Vinted Pro account and the obligations of a professional seller. We covered that switch in our article Vinted Pro: should you switch to a professional account?.

Business sellers: the invoice for the buyer

A business seller should be able to give the buyer an invoice. On Vinted, one practical detail matters a lot: Vinted only passes the buyer's real details (name, address) to Pro accounts. A private account doesn't receive them, which is fine since it has no invoice to issue. A Pro account, on the other hand, has everything it needs to produce a complete invoice in the right person's name.

Don't mix them up: the invoices Vinted sends you

Vinted also charges you for some services: boosts, promoted items, the wardrobe spotlight… Those invoices go the other way. They aren't sales, they're costs. For a business, they are business expenses to keep as records and match against your bookkeeping. Mixing them up with your sales invoices is the classic mistake that distorts turnover or margin. Our Vinted bookkeeping page explains how to keep both columns apart.

What a Vinted invoice contains

The exact required wording depends on your country and your tax regime. In general terms, a sales invoice usually shows:

  • The seller: name or business name, address and the business identifier used in your country.
  • The buyer: name and address.
  • A unique number, taken from a continuous, chronological sequence.
  • The date the invoice is issued.
  • A description of the item, precise enough to identify what was sold.
  • The price of the item.
  • A VAT statement that matches your regime: VAT details if you charge it, or the wording your country requires if you don't.
Made a mistake on an invoice? In general it's corrected with a credit note that cancels or adjusts the original, never by deleting or reusing a number. Check the exact procedure with your tax authority.

An example layout

Purely for illustration, here's the skeleton of an invoice for a sale made on Vinted (fictional example):

  • Header: "Invoice no. 2026-0042", date of issue.
  • Seller: name or business name, address, business identifier.
  • Buyer: name and address passed on by Vinted to the Pro account.
  • Item line: "Denim jacket, size M — sold via Vinted", price 25.00 (in your shop's currency).
  • Total: 25.00, followed by the VAT statement for your regime.
  • Footer: "Paid via Vinted".

What Fripilot automates

Writing one invoice per sale by hand quickly becomes a chore once orders pile up. For a Vinted Pro account, Fripilot generates and sends the invoice for every sale automatically, in the subscriber's language, with wording that follows the country of the business. And if past sales were never invoiced, you can catch them up in batches rather than one by one. The details are on our Vinted invoices page.

If writing listings is what eats your time, our sister app FriShot applies the same automation logic on the listings side: from 3 photos, it writes the title, description, hashtags and a suggested price.
